AIFitLog Privacy Policy

Article 1. Operator Name and Contact

This Privacy Policy (the "Policy") explains how AIFitLog (individually developed) ("we," "us," or "our") handles user information in connection with AIFitLog (the "Service").

Article 2. Types of Information We Collect

In providing the Service, we mainly collect the following information.

  1. Account information
    Email address, password (stored in hashed form), display name or nickname, and identifiers from external services used for login, such as Google Account IDs and Apple IDs.
  2. Profile and settings information
    Height, weight, body fat percentage, other body composition information voluntarily entered by the user, and in-app settings such as language and unit preferences.
  3. Workout and body log information
    Exercise names, weights, repetitions, sets, workout dates and times, body weight, body fat percentage, other body data, and the dates and times of those records. When the user enables the integration, the Service reads body weight and body fat percentage from Health Connect on Android or Apple Health on iOS. The Service does not write data to Health Connect or Apple Health.
  4. Usage and technical information
    In-app activity history, device information such as OS type, browser type and version, IP address, and identifiers stored through cookies, local storage, or similar technologies.
  5. Notification-related information
    Push notification subscription information and reminder settings, including days, times, and enabled or disabled status.
  6. Inquiry information
    Inquiry details, email addresses needed for replies, and other information provided in connection with inquiries.

At present, we do not use tracking IDs or advertising SDKs for third-party ad delivery. If we introduce them in the future, we will update this Policy and the disclosures provided on the applicable app stores.

Article 3. Purposes of Use

  1. To provide and operate the Service
  2. To improve the Service and develop new features
  3. To provide AI-based analysis and recommendations
  4. To deliver notices and other communications, with the user's consent where required
  5. To prevent unauthorized use and ensure security
  6. To respond to legal requirements and other obligations
  7. To automatically record and display trends in body composition data obtained from Health Connect or Apple Health, and to use such data for AI analysis when the user has consented

Article 4. Provision to Third Parties

We do not provide personal information to third parties except where we have the user's consent, where required by law, or where necessary to protect life, body, or property. When we use AI analysis services or similar services, we may provide information to the extent necessary for those services.

Article 5. Outsourcing

We outsource certain data processing to the following services.

We select and supervise such service providers appropriately.

Article 6. AI Services and Third-Party AI Integrations

  1. We may use external AI services provided by third parties to provide workout recommendations, analysis, and related features.
  2. When the user consents to AI data sharing, workout records, body composition records such as body weight and body fat percentage, and information entered by the user, including sleep, stress, and physical condition, may be sent to an external AI service to the extent necessary for analysis. Body composition records may include information imported from Health Connect or Apple Health.
  3. Users may withdraw their consent to AI data sharing at any time in the app settings. Once consent is withdrawn, no further data will be sent for AI analysis unless the user provides consent again.
  4. Health and fitness information sent to an external AI service is used only to provide AI analysis and recommendations to the user. It is not used for advertising, marketing, or advertising-related data analysis.
  5. Important: Please do not enter directly identifying personal information, such as your name, address, or phone number, in free-text fields such as memo fields.
  6. Information processed by an external AI service provider is also subject to that provider's applicable privacy policy and terms.
  7. We make reasonable efforts to handle information sent to external AI services in a manner that does not directly identify the user whenever possible.

Article 7. Use of Cookies, Local Storage, and Similar Technologies

We may use cookies, local storage, and similar technologies to provide the Service, improve convenience, and ensure security. Users can disable these technologies through their browser settings, but some features may become unavailable.

Article 8. Storage Location and Retention Period

User information is stored on servers operated by cloud service providers. These servers may be located outside Japan. After the purposes of use have been achieved, we will make reasonable efforts to delete or anonymize the information without undue delay.

When an account is deleted, information that can identify the user, such as email addresses, authentication information, and profile information, will be deleted without undue delay.

Usage data such as workout records, body composition records, and AI analysis results may be retained for service improvement, statistical analysis, and troubleshooting after being anonymized so that the user cannot be identified.

If you have an active subscription, you must cancel it separately through the App Store or Google Play. Account deletion does not automatically cancel your subscription.

Article 9. Viewing, Correcting, and Deleting Information

Users can view, edit, and delete their registered information and log data within the app. The Health Connect or Apple Health integration can be disabled in the app, and read permissions can also be revoked in the device settings. Disabling the integration or revoking permission does not automatically delete body composition logs that have already been imported into the Service. Imported logs can be deleted using the in-app log deletion feature. If a request cannot be handled within the app, please contact us using the contact information in Article 1.

Article 10. Children's Information

  1. The Service is not available to children under 13 years of age. Users who are 13 years of age or older but under 18 years of age should use the Service with the consent of a parent or legal guardian.
  2. If we suspect that personal information of a user under 13 years of age has been collected without parental consent, we will promptly investigate and take necessary measures, such as deletion.

Article 11. Security Measures

We implement reasonable security measures, such as access controls, encryption, and log management, to help prevent unauthorized access, leaks, and similar incidents.

Article 12. Compliance with Laws and Guidelines

We comply with Japanese laws and guidelines regarding the protection of personal information, the EU General Data Protection Regulation (GDPR), and other applicable data protection laws, as well as privacy-related rules established by app stores such as Google Play and the App Store.

Users in the European Union have the right, under applicable law, to access, rectify, erase, restrict processing of, port, and object to the processing of their personal data. To exercise these rights, please contact us using the information in Article 1.

Article 13. Changes to This Policy

We may change this Policy as necessary. We will announce the changes and their effective date in advance through the Service, our website, or other appropriate means. If a user continues to use the Service after the changes take effect, the user will be deemed to have agreed to the revised Policy.

Article 14. Account Deletion

You can delete your account after logging in to the app by using "Delete Account" in the settings screen.

If you cannot log in to the app or cannot use the app, please request account deletion by sending an email from your registered email address to aifitlog+support@gmail.com.

We will handle the request as a request from the account holder only if we can verify that it matches the registered email address. If the request is sent from an email address that does not match the registered email address, we may be unable to identify or delete the account.

If you have an active subscription, you must cancel it separately through the App Store or Google Play.

Information about account deletion from outside the app is also available at delete.aifitlog.com.

Apple, the Apple logo, and iPhone are trademarks of Apple Inc., registered in the U.S. and other countries.

The trademark "iPhone" is used with a license from Aiphone K.K.
